When a new customer places their first order I enter their details into LACRM and add a note about their order.
I have never used tasks or reminders but I want to set some kind of reminder to tell me to send them an email 10 days after their order to thank them and check everything is ok.
My main concern is the process of setting the reminder needs to be as quick and simple as possible as I may add 10 - 15 new customers a day so am quite busy.
What do you suggest is quickest and simplest way of reminding me or setting tasks ? to send the email.
I think the quickest and simplest option is probably to set a task when you add the note for the customer’s order. You can create a task template since you’ll be setting this task frequently, so you don’t have to re-enter the task details each time.
To create the task template, go to the Tasks page under Settings. If this is the task you’re going to use the most, you can select the default task option at the top of the page. Then, enter a name (something like “10 day order follow up”), and set it to be due in 10 days. Be sure to hit save there!
Once you’ve done that, you can go back to your contact, mouse over “Attach an item,” and select “Task.” It’ll default to your “10 day order follow up” task details so you can just click create, and then move on to the next thing!
Another potential option would be to use an Order pipeline. That option would be better if you want to track more detailed stages of the order, like if you need to see it was placed, in progress, shipped, etc. It’s a bit more involved than creating task, but also allows for more tracking. If you’re interested in that option too let me know and I can share more detail!
I’d forgotten task templates exist; thanks for the reminder.
As an alternative, an automation (once it’s out of beta) can create a future task from the “Attach an item” menu - particularly useful if you want to do multiple things (like several future tasks).
And, if your ordering system can be made to speak to Zapier, you might be able to automate many of the repetitive things when an order is placed.
That’s another great suggestion! An automation could work as well to add both a note and a task at once. That would work best if the note is always the same, or you could have an automation to set multiple tasks at once (or set one task and add them to a group, as another option).
I’m afraid we don’t have a way to get a pop-up/on screen notification for tasks, sorry about that! As I think you know, we send out the Daily agenda email first thing in the morning, but that is a summary for the day. We’ve discussed potentially adding times to tasks in the future, so that you could also have a timed reminder during the day, but if we do that it would be a long ways off at this point. That reminder is also likely to be an email, instead of a pop-up notification on your screen. Sorry I don’t have better news for you here – as a workaround you could create an event to get a timed reminder instead, but then once the time passes events are automatically marked as complete.
